Position Overview

SB ACT has evolved into an entity that not only facilitates collective impact collaboratives to address complex social issues, but also supports strengthening the capacity of community-based organizations to be able to effectively contribute to those collaborative and effect real, measurable change in the lives of our marginalized populations.

The Program Coordinator will be part of a small team responsible for driving SB ACT’s work forward, in particular supporting day-to-day programming through coordination, administration, community engagement, and data functions.

Responsibilities

The Program Coordinator will provide day-to-day support and facilitation of SB ACT’s programming, with occasional duties related to general nonprofit operations.  Key responsibilities include:

Coordinating and supporting collaborative programs:

  • Planning and coordinating Neighborhood Navigation Centers (NNC) program, and other programming as position grows;
  • Managing day-to-day program operations and safety
  • Managing collection, analysis, and dissemination of program data;
  • Planning and facilitating weekly program coordination meetings with NNC service providers
  • Managing communications of programming through media relations, social media etc.;
  • Keeping all members of the team up-to-date with relevant program information;
  • Keeping updated program records and creating reports or proposals;
  • Supporting growth and program development; and
  • Ensuring implementation of program policies and practices.

Strategic coherence:

  • In partnership with Associate Director of Programs, acting as a neutral arbiter and helping resolve disputes or disagreements in direction among program stakeholders (e.g., other nonprofits, city staff, individuals experiencing homelessness);
  • Working with Associate Director of Programs to coordinate with other related programs and coalitions (i.e., in the same field) to maintain a full understanding of the current landscape of local and regional activities, and integrating their work into program processes;
  • Developing and maintaining a list of community partners and upcoming events;
  • Organizing outreach against that list of community partners and upcoming events, including following-up as needed;
  • Working with Associate Director of Programs to update outreach strategy as new needs emerge; and

Communicate with team members to ensure maximum efficiency.

Administration:

  • Administration and coordination of Working Groups per the directives of the Associate Director of Programs, including:
    • Preparing, assembling and making committee meeting agendas available in a timely manner;
    • Preparing and/or creating and disseminating materials for and to partners; i.e., reports, spread sheets, memos, PowerPoint and meeting follow-up documents as requested;
    • Supporting ad hoc projects such as surveys, special mailings, scheduling times/dates/space;
    • Planning and managing logistics of, and attending, project-related community events (e.g., neighborhood walks, homelessness panel discussions, etc.);
  • Participating in job-related educational or training events as requested; and
  • Carrying out other ad hoc administrative duties as assigned by the Operations Manager, including:
    • Support for organization-wide events such as fundraisers and education events;
    • Support for individual projects such as surveys, special mailings, etc.

Communications:

  • Developing communications materials for collaboratives and programs, potentially including summary documents, brochures, FAQs, program signs, and other items;
  • Updating program-related social media content through SB ACT blog posts, Facebook, Twitter, Instagram, etc;
  • Compiling and/or taking photos
  • Developing program-related web and social media strategy;
  • Compiling and maintaining list of press clippings; and
  • Carrying out other ad hoc administrative duties as assigned by the Operations Manager, including:
    • Supporting monthly email newsletters
    • Supporting development of organizational communications materials such as brochures and annual report

Reporting Relationships

The Program Coordinator will be responsible for building and maintaining strong relationships with the community, day-to-day coordination of programs and their many moving parts, and being part of a highly functioning team. The Program Coordinator will report to the Operations Manager of SB ACT.
