Title:                           Development Assistant

Classification:          Full-time, Non-exempt

Department:             Development

Reports To:               Director of Development

Salary:                       $23.08 – 25.90 commensurate with experience and internal equity

Position Summary:  The Development Assistant is responsible for donation processing, donor relations, overall development office administration, and support of the fundraising functions of the SBMNH including support of any capital campaigns and other responsibilities as assigned.

General Development Responsibilities

  • Manages processing of all gifts, grants, and contributions and follows strict accounting procedures. Includes creating acknowledgements for donations and scanning correspondence and uploading scans to database.
  • Maintains the donor database ensuring protocols for entering and maintaining information are consistently followed.
  • Routinely runs detailed reports, performs analysis, prepares presentations, and reconciles with the Finance Department.
  • Provides staff support to development team including Leadership Circle’s program, membership program, special events, and all fundraising campaigns.
  • Organizes and designs office operations, procedures, and files.
  • Maintains inventory of printed materials and office supplies.
  • Acts as central contact person for the development program, exercising discretion and independent judgment.
  • Prepares development materials, letters, etc. as directed by Development Director and/or President.
  • Coordinates with the Development Director regarding departmental staff, development committee, and campaign meetings.
  • Assists with the organization and production of department events and activities, both internally and externally (with donors, sponsors, and supporters). Serves on various committees.
  • Assists with production and proofing of invitations and direct mail pieces.
  • Represents Museum to prospective donors.
  • Assists Development Director as needed.

Special Events Responsibilities

  • Works special events that relate to Development including but not limited to the Members Party, Leadership Circle Dinner and President’s Reception, Gala, Wine & Food Festival, The Artist’s Table, Halloween, exhibit openings, and campaign cultivation activities.
  • Manages reservations for development events as well as ticketing for the Santa Barbara Wine + Food Festival. Coordinates check-in for Wine Festival and other events as needed.

Essential Requirements

  • Passionate about the mission of the Museum.
  • Self-starter who is highly organized and detail-oriented.
  • Able to use independent judgment to produce a quality work product within tight time constraints.
  • Has excellent computer skills, including strong competency with Microsoft Office (Outlook, Excel, Power Point), and experience working with a database program (experience with Raisers Edge is highly desirable).
  • Is able to operate a variety of office machinery including copiers, printers, and scanners.
  • Ability to work collaboratively and independently to achieve department goals.
  • Able to juggle a variety of tasks, clearly defining priorities, and manage time efficiently.
  • Excellent written and verbal communication skills.
  • Ability to maintain a high level of confidentiality.
  • Is comfortable interacting with the general public including high profile members, donors, and sponsors.
  • Has an outgoing personality.
  • Maintains high professional standards and communicates with diplomacy and tact.
  • Ensures the Museum’s presentation standards for cleanliness and maintenance are met by keeping work areas clean, picking up trash, reporting unsafe or unsightly conditions.
  • Maintains a clean neat appearance and adheres to the Museum’s uniform dress code.
  • Provides excellent customer service to internal and external clients.

General responsibilities

  • Periodically supports the daily operations of the Museum if needed.
  • Maintain an in-depth knowledge of the Museum’s programs and priorities, takes responsibility to stay informed about happenings at the Museum and Sea Center, such as reading staff communications and attending meetings.

Work Environment and Physical Demands

  • General office environment with occasional work throughout the Museum’s facilities (galleries, conference rooms, and exhibit halls) and outdoors
  • Significant telephone and computer work (repetitive movement – typing)
  • Requires the ability to access all areas of the Museum.
  • Ability to carry up to 10 lbs.
  • Requires flexible schedule, including some weekends, holidays, and evenings.
