Position Title: Admin & Program Coordinator

Job Hours: Part time, 20-25 hrs per week, occasional weekends required. Position can become full-time.

Location: Santa Barbara

Compensation: DOE, non-exempt

Reports to: Executive Director

The Breast Cancer Resource Center of Santa Barbara is a non-profit organization that provides non-medical support, educational programs and resources to access care. BCRC is committed to serve as a community resource center that fosters hope and empowers individuals who have been diagnosed with breast cancer to advocate for themselves and make informed decisions regarding breast health. At the BCRC clients are heard and find emotional support in actively navigating their cancer treatment and survivorship health.

Position Summary: The position is responsible for coordinating client support services and navigating clients to appropriate breast cancer care and resources, providing peer counseling, and assisting with support services and educational programs. Maintains client / donor database and administrative duties for tracking and reporting client services. This position will also be responsible for general administrative duties.

Ideal candidate will be a motivated team player who is flexible, accepts direction, able to take initiative to move projects ahead and has exceptional people /communication skills. This position will work collaboratively with internal departments and community health liaisons to best represent the organization as well as support clients compassionately.

DUTIES/RESPONSIBILITIES:

The following duties and responsibilities are those considered to be essential but do not represent all job functions that may be required to be performed by this position. Other comparable duties and responsibilities may be assigned as needed.

Essential requirements:

Program Coordinator: including but not limited to:

  • Lay navigation – provide and gather resource information and referrals.
  • Provide Peer-counseling and emotional support for new and existing clients and articulate BCRC programs and activities.
  • Meet with clients on a daily basis, and provide peer-counseling for new and existing clients.
  • Answer client calls, make wellness follow-up calls, and client services reminder emails/calls.
  • Process new client’s intake information.
  • Assist ED with coordination of ongoing client programs.
  • Assist field educational outreach coordinator.
  • Maintain client files: electronic and paper.
  • Update databases.
  • Attend health fairs and/or field outreach functions as required by organization.
  • Liaise and establish a consistent presence in targeted areas to inspire trust, respect, rapport, and on-going contacts within the community.
  • Attend to all Administrative functions related to BCRC programs.

Administrative & Other:

  • Provide general administrative support.
  • Provide and participate in the full range of administrative activities required to keep BCRC functioning.
  • Provide and/or assist ED with various administrative projects and/or Board related activities.
  • Maintain positive relationships with internal team and community partner agencies.
  • Attend required trainings, staff meetings, and other agency/community related meetings.
  • Assist in gathering and updating resource information.
  • Maintain client/donor data bases.
  • Responsible for collecting, and processing of all incoming mail.
  • Interact with donors and process credit card donations.
  • Maintain an organized and professional office environment.
  • Prepare correspondence, including donor Thank You letters.
  • Answer phone.

Other:

Attend and assist with BCRC fundraiser events.

  • Attend and assist with BCRC educational lectures.
  • Conduct educational presentations to various community groups.
  • Other responsibilities as needed and assigned by supervisor and/or Executive Director.
  • Participate as a team player to plan and/or coordinate projects.
  • Maintain a team attitude, pleasant phone manner, and professional demeanor.
  • Work in a positive collaborative manner and meet deadlines.

Compensation:

  • Exempt, Hourly rate, exempt (depending on experience)
  • Vacation & paid holidays

Skills/Experience:

  • Very strong attention to detail and organization.
  • Excellent communication skills.
  • Plan, prioritize, meet deadlines, and coordinate multiple projects as needed.
  • Qualifications:
  • Proficient in MS Office: Word, EXCEL, Outlook, PowerPoint
  • Auction-Tracker or other fundraising databases
  • Google calendar
  • Zoom
  • Bilingual preferred, but not required
