ILDC Bilingual Office Manager/Legal Assistant
Full-time (40hrs/wk.), non-exempt position.
Job Location: Santa Barbara, California
Salary: $22/hr. to start
ILDC seeks a Spanish Bilingual Office Manager/Legal Assistant to work in our Santa Barbara office full-time. ILDC seeks an experienced Office Manager to maintain its general image and appearance and assist staff attorneys and its executive director with administrative duties, scheduling, and client interaction. This position reports directly to our executive director.

Daily Office Administrative Duties and Responsibilities:
- Maintain all office equipment, including making sure all equipment works properly and ordering supplies for all equipment;
- Maintains all office supplies, including making sure of the availability of general office supplies for daily business, as well as researching and ordering any necessary special requests for either equipment or supplies;
- Service of legal documents, process received mail, and mail documents;
- Answer telephone, take messages, answer inquires, and make initial determinations of eligibility and/or referral to other providers or agencies; and
- Coordinate and schedule potential clients with staff attorneys or legal representatives for initial intakes;
- Contact and schedule interpreters for initial intakes with staff attorneys and legal representatives when needed;
- Assist potential clients with virtual technologies when an in-person initial intake is not possible;
- Manage partner referrals and maintain partners informed of potential client follow-up; and
- Other general office duties: copying, scanning, faxing, and organizing case files.
Advocacy and Community Outreach responsibilities:
- Assist with Advocacy efforts and community outreach;
- Draft letters, social media posts, and other promotional materials for design, print, and website advertising by the Executive Director with little direction;
- Assist ILDC Fundraising Committee with designing, printing, emailing, and mailing ILDC’s quarterly newsletter and other marketing materials.
Financial Activities responsibilities:
- Assist with financial activities, including making bank deposits, entering bills, and printing checks in the accounting system (QuickBooks);
- Maintain Donor Records in our donor management system: DonorSnap, record donations, and print and mail donor acknowledgment letters weekly.
- Purchase and track donor gifts.
Required Qualifications
- A bachelor’s degree in any subject or a high school diploma/equivalent.
- Fluent in English and Spanish is required;
- Excellent organizational and communication skills;
- Multitask, prioritize, and demonstrate flexibility in changing circumstances;
- Work independently and as a part of an office team;
- General computer skills (Word, Excel, PowerPoint) and willingness to learn and use new software applications;
- Excellent communication and interpersonal skills, including accuracy and proficient writing and proof-reading skills;
- Exceptional customer service skills, demonstrating respect for different abilities and making necessary modifications;
- Ability to handle sensitive information with the highest degree of integrity and confidentiality;
- Ability to consistently meet deadlines;
- Valid California Driver’s License;
- Ability to travel as needed to conduct administrative tasks, including traveling to our Santa Maria office when needed; and
- Interested in learning and performing new tasks.
Preferred Qualifications:
- Experience working with the relevant community or population is highly desirable but not required.
- Experience working in an office setting.
