The Enrollment Specialist position is part-time, working 20 hours/week and it starts out at $20.00 per hour working in the Santa Maria area with the possibility of a hybrid work environment.

Under general supervision the Enrollment Specialist provides bilingual enrollment assistance support to individuals and families residing in Santa Barbara County for assistance obtaining services within the Secure Families/Familias Seguras program and provide specialized administrative functions in support of the countywide Family & Youth Services Department (FYS). Assistance includes but not limited to, client intake, assessment, collection of documentation, and data entry. 

Essential Duties and Responsibilities. Other duties may be assigned.

  • In person and remote intake activities, including gathering supporting documents, and processing applications for all programs within the Community Services department.
  • Data entry of initial client application data and program billing into internal and funder provided databases.
  • Generate files of client information and associated intake documents for the Secure Families/Familias Seguras program.
  • Provide data entry support for the FYS department.
  • Maintaining service logs.
  • General supplies purchasing.
  • Per-diem and travel preparation and documentation and submission.
  • Maintaining Purchase orders and Purchase requisitions.
  • Maintaining equipment logs.
  • Perform general office duties such as processing incoming and outgoing mail, responding to correspondence, document faxing and copying, scheduling of meetings, and organizing fiscal documentation.
  • Effectively manage time and organize activities to ensure deadlines are met and tasks are accomplished.
  • Maintain up to date client records utilizing assigned database systems.
  • Attending regularly scheduled team meetings.
  • Adhere to confidentiality and HIPPA regulations.

Education and/or Experience: High School diploma and/ or a minimum of two (2) years of related experience in social services or an equivalent combination of education and experience.

Computer Skills: To perform this position successfully, an individual should have knowledge of Internet software; Spreadsheet software, Word Processing software and develop an understanding of specialized database applications.

Certificates, Licenses, Registrations: Current valid California Driver’s License with ability to qualify for coverage under Agency insurance plan.  Maintain a valid California driver’s license and appropriate personal liability and vehicle insurance coverage.

Other Skills and Abilities: Bilingual (English/Spanish) required.

Other Qualifications: Travel required routinely within Santa Barbara County to support documentation collection. Knowledge of HIPAA compliance requirements.
