Ensemble Theatre Company (ETC) is seeking qualified candidates for the position of Development Associate. This full-time, benefits-eligible position supports the Director of Advancement & Business Affairs across the full range of the department’s fundraising and stewardship work, including gift processing and database management, donor communications, benefit and sponsorship tracking, and special events. The ideal candidate has exceptional attention to detail, strong analytical, communication, and collaboration skills, and demonstrated time-management and problem-solving abilities.

ORGANIZATION DESCRIPTION

Led by Executive Artistic Director Scott DeVine, Ensemble Theatre Company (ETC) presents important new plays and innovative interpretations of classic works for a broad audience. ETC engages audiences with entertaining, compelling, and thought-provoking theatrical productions, develops the community’s knowledge and appreciation of live stage productions, and offers a range of educational programs for young people.

POSITION SUMMARY

The Development Associate is a key member of ETC’s Development department, working under the supervision of the Director of Advancement & Business Affairs to advance the organization’s fundraising and donor relations goals. The Associate is responsible for gift entry and acknowledgements, ongoing database maintenance and segmentation, and support of donor development communications. The role tracks donor and sponsor benefit, supports development events, as well as Board and Committee meetings. The Associate also oversees the Ambassadors Program, ETC’s volunteer group.

ESSENTIAL FUNCTIONS

  • Demonstrate commitment to ETC’s vision, mission and values.
  • Provide day-to-day support to the Director of Advancement & Business across fundraising, stewardship, communications, and events.

Gift Entry & Acknowledgements

  • Process and code gifts accurately in the Tessitura database, ensuring the integrity of gift coding and constituent records.
  • Manage the printed and emailed gift acknowledgement process, ensuring timely and accurate acknowledgements and tax receipts are issued for all gifts received, including tracking each step of the process and performing quality assurance on merge data.
  • Conduct periodic audits of gift processing and acknowledgement systems to maintain the highest quality standards.

Database Update & Maintenance

  • Maintain and update the donor database, ensuring the accuracy of constituent records, coding, and consistent data entry.
  • Assist the Director of Advancement & Business with the articulation of and updates to Development operating procedures, including the Gift Processing Manual, version upgrades, and how-to guides.
  • Support regular reconciliation with the Finance team and collaboration across departments.

List Segmentation

  • Build and manage lists, segmentation, and extractions in Tessitura to support appeals, mailings, communications, and event invitations.

Donor Development Communications

  • Support donor development communications (mail and email), including appeals, newsletters, invitations, and ongoing stewardship touchpoints.
  • Maintain a high level of customer service to both internal and external audiences.

Donor & Sponsor Benefit Tracking

  • Track and fulfill donor and sponsor benefits, maintaining accurate records of commitments and delivery.
  • Assist the Development Director with the annual donor, member, and sponsor benefits assessment.

Event Set-Up & Support

  • Provide set-up, coordination, and on-site support for annual donor and development events.
  • Support Director of Advancement & Business with planning and coordination of ETC’s annual travel program.
  • Support with the annual gala, including logistics, benefit tracking, and committee coordination.

Committee & Volunteer Support

  • Support the Board of Directors, Development Committee and Special Events Committee, including scheduling, preparing materials, and following up on action items.
  • Recruit, train, schedule, and oversee a volunteer group supporting development activities and events.
  • Other duties as assigned.

EDUCATION

Associate’s degree or equivalent work experience.

EXPERIENCE

  • Minimum 1 year of experience in a nonprofit setting (development setting highly preferred but not required).
  • Experience working in a donor database (Tessitura experience highly preferred).
  • Experience supporting events and/or communications preferred.
  • Experience working in team-based environments.
  • Excellent organizational and time-management skills.
  • Excellent written and oral communication skills.

COMPENSATION

The starting salary range for this full-time position is $52,000 annually. Benefits include vacation and sick leave, paid holidays, qualify to participate in ETC Health Plan and Pension Plan.
