Brief Summary of Job Duties

An integral member of the Office of Financial Aid and Scholarships, the Scholarships and Donor Relations Manager fills an instrumental role with far reaching impacts to the UC community and beyond through interactions with donors, students, staff and faculty. Serving as the main Campus liaison for scholarships and reporting directly to the Director of Financial Aid & Scholarship this unique position manages the many facets of scholarships at UCSB. Works in close collaboration with the Assistant Vice Chancellor for Enrollment Services and the Executive Director of Student Affairs Grants & Development to manage development relations on generating new opportunities and stewardship of funds as well as providing pertinent information for donor relations and reporting. Serves as the departmental scholarship delegate at scholarship board meetings, award ceremonies, donor meetings, etc. Creates and conducts workshops/presentations. Responsible for managing awarding and policy of all undergraduate scholarship programs totaling over $20 million in funds including prestigious and special awards such as the Regents Scholarship, Athletics Scholarships and the Chancellor’s Scholarship.

 

Required Qualifications

  • Bachelor’s degree or equivalent combination of education and experience.
  • Expertise in financial aid, scholarship or development work.
  • Strong communication skills and experience working with diverse stakeholders.
  • Experience in accounting and strong analytical and organizational skills.

  • Master’s Preferred

Job Functions/Percentage of Time/Duties

50% Program Management

Manages and administers all major scholarship programs. Develops undergraduate scholarship policy. Maintains outside agency scholarship contact for awarding, maintains scholarship section of office web page, coordinates with office fiscal unit to ensure funding and awarding structure is in place for proper fiduciary and stewardship of funds. Develops projections, reports, and tracks spending for all scholarships. Develops and executes strategies for awarding campus internal scholarships to the most qualified candidates, and ensures efficient utilization of all possible funding sources. Participates in stewardship activities in collaboration and at the direction of the Director. Coordinates with campus departments to foster positive relationships and understanding of the impact of scholarships on student financial aid. Works with campus departments for submission of Undergraduate Resource Reporting forms.

 

25% Campus Undergraduate Liaison

Campus undergraduate scholarship management for campus. Consults departments in creation of new student awards. Provides focused collaboration and support with Development staff to build bridges and strengthen new and existing donor relations by providing necessary awarding, funding, and general student population information. Provides award details to Development on a regular basis for generation of donor reports and thank you cards. Communicates with different special scholarship programs across campus to ensure proper handling and awarding.

 

10% Community based Scholarship Stewardship & Management

Acts as campus liaison to community-bases scholarship foundations and programs fostering continued and expanded collaborations to promote scholarships to UCSB students.

 

 5% Instruction/Committees/Official Scholarship Management

Conducts workshops and develops instructional materials for student groups, campus departments, and for organizations outside of the University. Participates on ad hoc committees that review current departmental policies and procedures and recommend changes to management. May be assigned as chairperson of a committee. Attends scholarship board meetings, award ceremonies/lunches, donor meetings.

 

5% System Development and Management

Recommends and manages development of IT systems and interfaces with internal and external systems related to scholarship programs. Forecast program development needs and makes recommendations to the Associate Directors and Director. Evaluates system and programs for efficiency and adequacy. Tests delivery enhancements to identify and fix processing problems to improve internal controls and enhance quality assurance.

 

5% Advising

Available to students for scholarship inquiries and questions.
