Job Summary:
Under the direct supervision of the Director of Administration, the Office Manager is responsible for supporting and facilitating the ongoing operations of the USSB office, staff, congregation members and groups by performing the full range of office support tasks.
Work Schedule:
Flexible M-F weekday schedule during regular business hours, 20 hours/week.
Essential Functions:
- Provides routine office and reception functions, including maintaining supply inventory.
- Responds to inquiries of members and public; refer queries as indicated.
- Maintains USSB front office as an attractive and welcoming space.
- Maintains files, storage systems, kiosks, and bulletin boards; distributes mail.
- Supports Director of Administration in selection, training, and supervision of office volunteers.
- Compiles and prints weekly Order of Service.
- Supports Director of Administration and the Outreach Coordinator in maintaining the congregational database with up-to-date information about members and congregational events.
- Maintains server information systems with support from IT consultants.
- Maintains office phone system, copier, and other office equipment.
- Supports the Director of Administration in congregational fundraising efforts and donor development, in collaboration with the Bookkeeper and volunteer teams.
- Assists in preparation, distribution and recordkeeping of payables in QuickBooks and in physical filing systems.
- Maintains pledge records, processes deposits, oversees ACH & credit card payment system, acknowledges and tracks contributions.
- Oversees key inventory.
- Updates office manuals and procedures as directed.
- Attends meetings of the staff at the request of the Director of Administration.
- Other responsibilities as assigned by the Director of Administration.
Essential Qualities & Skills:
- Excellent communication skills; able to communicate with individuals as well as with the congregation as a whole.
- Able to work with volunteers of diverse skills, backgrounds, and abilities.
- Prioritization skills; Able to self-manage and prioritize tasks, able to work independently.
- Friendly and non-anxious presence.
- Grounded in Unitarian Universalist Values: Supports the USSB mission as well as Unitarian Universalist principles and values.
- Commitment to accessibility, antiracism, and inclusion of diverse identities.
Desirable Qualifications:
- Three or more years not-for-profit office work, volunteer management, or related field.
- Demonstrated skills working with volunteers.
- Professional experience using a CRM system.
- Enthusiastic and articulate, both in writing and in person.
- Strong skills in Word, Excel, Outlook, Google Docs, and presentation platforms.
- Strong Internet skills; experience with social media platforms.
Work Environment:
Flexible schedule during regular business hours on-site, may need to travel locally.
Physical Requirements:
Moving and managing basic office equipment; working in diverse physical locations. Must be able to lift up to 25 pounds.
