Santa Barbara Meals on Wheels is a non-profit based in Goleta, CA. We deliver affordable, freshly prepared meals to approximately 200 seniors and homebound residents in our community. The office administrator is the first point of contact that clients have with the organization and is critical to our operation. We are looking for an individual to fill this part-time position, with regular hours Monday to Friday, 9 a.m. to 1 p.m. Candidates must have excellent communication skills, administrative experience in an office setting and a strong knowledge of Microsoft 365. Position pays $20-$24 per hour, depending on experience, and offers 2 weeks paid vacation.
Responsibilities:
- Field calls from prospective clients, conduct short interviews to determine eligibility and initiate services
- Generate food orders and daily driver sheets, and deliver paperwork to Valle Verde retirement community
- Collect client payments and make weekly bank deposits; process expense invoices and reimbursement requests
- Perform monthly client billing operation, generating and mailing bills
- Monitor voicemail, email and post office box
- Maintain client database and daily schedules
- Maintain donor database, generating thank you letters
- Communicate regularly with volunteer coordinator, Treasurer and officers of the board of directors
- Prepare materials, including metrics report, for monthly board meeting and attend the meeting (third Thursday evening of month)
- Maintain and archive documents, and manage office supplies
- Track client feedback and make recommendations to improve quality and efficiency of services
Required skills and qualifications
- High school diploma or equivalent
- Proven administrative experience in an office setting
- High level of comfort with Microsoft 365 and database management
- Experience with billing and expense management
- Strong people skills for client interactions
- Comfortable handing confidential information
