ABOUT THE POSITION:

The Development Assistant for Hospice of Santa Barbara (HSB) plays a critical role in helping HSB provide vital services to thousands of families each year. If you love being detailed and accurate in your work and enjoy working on a variety of different projects, you will love this position. You will help Hospice of Santa Barbara build our fundraising capacity and help communicate our impact to the community.

In this flexible half-time role (20 hours per week with opportunity to increase hours), you will use your administrative and tech savvy to manage our donor database and ensure this relationship-tracking tool is kept up to date, with all donors being accounted for, properly categorized, and acknowledged. You will also use your operational support skills to partner with members of our dynamic development team.  Without a doubt, this position will provide you with the opportunity to be a key contributor and influencer to HSB’s fundraising objectives.  More specifics on essential duties and responsibilities:

Gift Processing & Donor Database Management

  • Maintain the donor database (Donor Perfect) through accurate and prompt data entry of updated donor contact information, giving history and any notes. Serve as point of contact to generate necessary mailing lists (clients, donors, support group members, etc.)
  • Process incoming donations on a daily basis and send donor acknowledgement letters in a timely manner.
  • Create Donor Perfect reports as needed.
  • Reconcile donations with the Director of Finance on a monthly basis.
  • Follow up with any donors on outstanding pledges.
  • Provide administrative support and up-to-date correspondence/materials to CEO and Development team when making donor calls or sending donor emails.

Fund Development

  • Provide administrative support to the Events and Marketing Manager in prepping for and executing fundraising, stewardship, and social events, including, but not limited to Heroes of Hospice, Light Up A Life, The Light Shines Ahead, illuminate Speaker Series, and Community Education events.
    • Examples of administrative support includes but not limited to: Organizing and picking up auction items, coordinating and organizing with Volunteer Department on sponsor bag delivery, delivering items to auction winners, helping with various mailings.
  • Provide administrative support to other Development Staff with initiatives to secure major gifts, planned gifts, grants, and corporate gifts.
    • Examples include: Providing materials needed for a meeting, phone call, and or email and pulling database lists when requested; following up on progress/additional needs

Miscellaneous and administrative duties

  • Attend and provide support to a variety of in-person and virtual meetings.
  • SWAG Management – organizing and purchasing HSB branded merchandise and working with vendors to order items.
  • Work with various staff on creating and sending holiday cards.

WHAT YOU’LL NEED (Job Requirements)

  • Bachelor’s degree or equivalent work experience in a professional setting
  • Data entry proficiency – detailed, accurate work
  • Technical savvy – proficient with MS Office suite (you enjoy working with Excel!), comfortable learning new software applications
  • Quick learner, no hesitation in asking questions
  • Excellent communication skills, written and verbal
  • Good at multi-tasking and handling multiple deadline-driven priorities
  • Self-starter – takes initiative, likes to problem-solve, thinks critically about the task at hand, wants to be a contributor
  • Friendly, sincere interest and enthusiasm for helping the community
  • Commitment to the internal standard by which we uphold professionalism, further the agency’s mission and work cooperatively and collaboratively as a team
