We are seeking a talented and motivated individual to join our team as an Accounting Manager/Assistant Controller. Under general direction of the Executive Director, the Accounting Manager/Assistant Controller will work to manage all financial aspects of agency operations. This role presents an exciting opportunity to contribute to the financial success of our growing nonprofit organization. The ideal candidate will have a strong background in nonprofit accounting, experience managing financial operations, and a passion for making a positive impact in the community.

Responsibilities:

Financial Management:

  • Oversee all aspects of financial management, including budgeting, forecasting, and financial reporting.
  • Manage the organization’s cash flow, investments, and banking relationships.
  • Ensure compliance with nonprofit accounting standards and regulatory requirements.

Accounting Operations:

  • Supervise the day-to-day accounting operations, including accounts payable, accounts receivable, and payroll.
  • Review and reconcile general ledger accounts to ensure accuracy and completeness.
  • Review and reconcile counseling clinic earned income and reconcile merchant account statements.
  • Produce bi-weekly payroll wage and benefit allocations for government funding draw downs.
  • Produce bi-weekly expense allocations for government funding draw downs.
  • Develop and implement accounting policies, procedures, and controls.
  • Participates and provides annual fundraising activities support.
  • Supervise financial team staff.
  • Oversee and ensure MediCal billing and accounting quality assurance.

Financial Reporting:

  • Prepare monthly, quarterly, and annual financial reports for management, the board of directors, government funders, and external stakeholders.
  • Analyze financial data and provide insights to support decision-making and strategic planning.
  • Ensure all financial, project/program and grants accounting expenditures are consistently aligned with grant and program budgets throughout the grant/fund period; collate financial reporting materials for government, corporate, and foundation grants.
  • Coordinate with external accountants, auditors and tax preparers for annual audits and tax filings.
  • Oversees and provides requested documentation and support for monthly closings and annual independent audit and tax return preparations. Ensures that current accounting standards and legal requirements are met with our contracted CPA.
  • Knowledge and understanding of Office of Management and Budget requirements.

Budgeting and Forecasting:

  • Assist in the development of annual operating budgets and long-term financial forecasts.
  • Monitor budget performance and variance analysis and provide recommendations for budget adjustments as needed.
  • Monitor grant budgets and track budget line item variance and YTD budget progress and ensure even distribution of grant funds.
  • Work closely with grants administration and program directors to ensure alignment of financial resources with organizational goals.
  • Produce monthly allocations for staff time and activity and agency expenses across approximately numerous projects and cost centers.

Systems and Process Improvement:

  • Identify opportunities for process improvement and automation to streamline accounting operations and enhance efficiency.
  • Implement and maintain financial systems, software, and tools to support organizational growth and scalability.
  • Provide training and support to staff members on accounting policies, procedures, and systems.

Compliance and Risk Management:

  • Ensure compliance with all regulatory requirements, including tax filings, audits, and government reporting.
  • Implement, monitor and update internal controls to mitigate financial risks and safeguard organizational assets.
  • Stay informed about changes in accounting standards, tax laws, and nonprofit regulations.
  • Maintains a high level of confidentiality and dependability to include attendance at work. Must keep sensitive information relative to the organization, employees, and/or the people we serve confidential.
  • Maintains good working relationships with contracted CPA, auditors, bankers, investment counselors, attorneys, and other professional advisors.
  • Communicates with and provides support to the Executive Director and Department Directors, serving as a resource person to management and program personnel in all matters relating to accounting, budgeting & forecasting and financial reporting.

Qualifications:

  • Bachelor’s degree in accounting, finance, or a related field; CPA or MBA preferred.
  • 7-15 years of accounting and finance experience, with 3-6 years minimum of experience in nonprofit accounting, with progressively increasing responsibilities.
  • Strong knowledge of nonprofit accounting principles, accrual and/or fund accounting, cash management, payroll, banking, investments, and financial reporting standards (GAAP).
  • A demonstrable track record in nonprofit grants and contracts management as it relates to compliance and reporting of government, corporate and foundation grants.
  • Proficiency in accounting software applications, such as QuickBooks, and similar platforms.
  • Proficiency in Microsoft Office programs (Excel, Word, PowerPoint), and the ability to develop and use spreadsheets and standard business software systems.
  • Excellent analytical skills and attention to detail, with the ability to interpret financial data and provide meaningful insights.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with staff at all levels of the organization.
  • Commitment to mentoring, training and retaining a diverse team with the foresight and ability to empower and delegate accordingly.
  • Strong interpersonal and communication skills; experience in effectively communicating key data, including presentations to senior management, board or other outside partners.

  • Requires initiative, resourcefulness, and the ability to be self-directed and work autonomously.
  • Must have own working transportation with liability insurance to conduct job-related travel.
  • Must satisfactorily pass the company’s background, DMV and reference check.
  • Must meet insurance carrier’s requirements for approval to drive.

Benefits:

  • Work hours are Monday – Friday, 9-5 although there will be some nighttime and weekend hours on occasion to attend community events and/or to manage any off-hour client crises that may arise.
  • Competitive salary commensurate with experience.
  • Starting salary range is $100,000 – $110,000 (DOE) with medical and dental benefits provided, 403b participation and match, as well as generous paid time off. Position begins asap. This is not a remote position.
