We’re seeking a Project Manager (part-time, temporary) to join our Programs department. This position reports directly to the Director of Strategic Partnerships and Initiatives and is based in Santa Barbara County.

This is a part-time (plan for 25 hours weekly) position projected to last for 12 months. It is a temporary role focused on project management for a specific SBF Focus Area.

Position Summary:

The Project Manager (PM) provides detailed project management and administrative support for the Foundation’s Community Health worker/Promotores Capacity Building Collaborative Project, which seeks to bridge the gap between underserved communities and healthcare services. The successful candidate will have the project management, organizational, administrative, and interpersonal skills to support diverse teams and build and strengthen relationships with project partners.

 

This is a project-based, part-time position projected to last up to 12 months from date of hire. Length of project may be shorter and will be assessed during the tenure of the position. The PM will work 25 hours per week.

 

Specific Responsibilities:

 

Administrative:

  • Plan and coordinate partner convenings and logistics.
  • Email correspondence and follow-up with project partners
  • Schedule meetings and timelines with project partners.
  • Assist in agenda creation, note-taking, file maintenance.
  • Attend project meetings, take meeting minutes, and identify action items.
  • Maintain committee records.

 

Project Coordination

  • Support the development of a detailed project workplan.
  • Manage project activities to ensure workplan deadlines and deliverables are met.
  • Track budget and grant project expenditures.
  • Assist with survey design and distribution to partners.
  • Collaborate with SBF’s Evaluation and Learning team in creating surveys, utilizing best practices.
  • Disseminate project materials and key project updates to project partners.
  • Assist in the preparation of project and grant reports.
  • Collect, track and maintain information collected from project partners. Use databases or spreadsheets to support work.
  • This may include SBF internal databases such as Raiser’s Edge, Granted GE/Foundation Cloud Grants, Smart Simple.
  • Synthesize project updates into well-constructed memos and other written communication.
  • Organize information received from project partners within SharePoint folders.
  • Communicate with project partners to identify and define project requirements, scope and objectives.
  • Lead internal and external communications with the Community Health Worker project team leads and project partners.
  • Track progress on activities and deliverables to ensure the approach is executed in a timely manner.
  • Facilitate information sharing and decision-making.

 

Essential Requirements:

  • Highly detail oriented.
  • Competent in SharePoint and Microsoft 365, especially Outlook and comfortable learning new software.
  • Desire to produce excellent work, hold oneself accountable and take responsibility for assigned work and projects.
  • Previous success coordinating, overseeing or managing projects.
  • Very good writing skills.
  • Good interpersonal communication skills.
  • Work up to 25 hours per week.
  • Team player with a positive can-do attitude who can also work independently and exercise good judgement.
  • Ability to effectively communicate with all stakeholders engaged in the project, including internal colleagues and external partners and parties.
  • Ability to work in-person and/or remotely.
  • Ability to address competing priorities in a changing environment.
  • Excellent organizational skills and ability to work within deadlines with acute attention to detail.
  • Ability to maintain an even-keel and professional demeanor in fast-paced, changing and challenging. situations.
  • Ability to synthesize complex discussions.
  • Notate and synthesize large amounts of information and communicate it verbally or in writing.
  • Ability to think strategically about complex topics with an influx of information.
  • Sense of humor and enjoy collaborating with others to reach a desired outcome.
  • Bachelor’s degree in related subject or commensurate experience.

 

Preferred Experience:

  • Master’s degree in related subject or commensurate experience.
  • Understands research and practice implementation.

 

Work Environment:

  • Dog-friendly office building.
  • General office environment – open office space, no door.
  • Potential to telecommute – working from home, must provide own modem, router and internet connection.
  • Significant telephone and computer work (repetitive movement – typing).
  • Frequent sitting, standing, walking, climbing stairs, bending and occasional lifting of light loads (10-50 lbs.)
  • Intermittent travel within Santa Barbara County.

This part-time position will pay between $33.65 – $35.58 per hour, depending on the skills and experience demonstrated in the interview process.
