Program Administrative Assistant

The Program Administrative Assistant is responsible for general office duties for Girls Inc. of Greater Santa Barbara’s Programs in a manner that reflects the mission, values, and goals of Girls Inc., and maintains an outstanding, customer-centric model that ensures enrollment, impact, and organizational objectives are met.
The Program Administrative Assistant is responsible for the following:
• Oversee enrollment process for all youth participating in comprehensive Girls Inc. programs (TK-12th grade)
• Provide customer service to girls, families, guests, staff, etc.
• Provide a socially, emotionally, and physically safe pro-girl environment
• Create a positive Girls Inc. community (girls, families, program partners, volunteers, community members, employees)

Essential Job Functions Include:
• Enrolling Girls Inc. participants
• Invoicing and payment processing
• Answering and directing phone calls
• Family engagement and communication
• Assist with enrollment initiatives
• Support daily program functions
• Assist with operation needs for the organization

Minimum Requirements:
• 2+ years administrative experience
• 12 college level units in early childhood education or any of the following areas: sociology, psychology, art, music, dance, drama, recreation, education.
• Excellent written and verbal communication skills, and the ability and desire to work as a team member of a diverse and dynamic team.
• Experience with data management or relational databases
• Experience with Outlook, Excel and MS Word
• Ability to pass criminal background check and pre-employment physical and drug screening.
• Vaccinations as required by State Law for licensed childcare facilities (TB, Pertussis and Measles immunization. Flu vaccine recommended, but optional).
• Proof of COVID-19 vaccines and boosters. Exemptions may be requested for medical reasons or religious beliefs.
• It is highly preferred that applicants possess a clean driving record and have the ability to drive the organization’s class C vehicles for any driving related needs.
• Bilingual English/Spanish skills required, as they are needed to perform all the functions of this position
Hours of Position:
• Full Time Non-Exempt
• Monday- Friday 35 hours p/wk. (occasional weekend and evening hours)
• Hours: 10am-6pm (hours will vary during school breaks and closures)
Compensation and Benefits:
• $21- $23 depending on experience
• Vacation, sick, and holiday pay included
