An Intake Specialist will perform specialized administrative functions in support of the countywide Energy Services program.

This position is full-time with full benefits and starts out between $18.50 – $20.90 per hour.
Essential Duties and Responsibilities (Depends on assignment/role in department)
- Perform general office duties such as processing of incoming and outgoing mail, responding to correspondence, document faxing and copying, front desk customer service, and retrieving and responding to messages on the Energy Services Hotline voicemail.
- Perform intake activities, gather supporting documents and process applications for all Energy Services programs (HEAP/FAST TRACK and Weatherization)
- Research and respond to client complaints.
- Maintain weekly production log of services provided.
- Establish and maintain community partnerships for remote outreach locations.
- Travel to community outreach sites as required to provide program education and complete applications for services.
- Data entry of initial client application data and program billing into internal and funder provided databases (EARS, ServTraq, HEAT, etc)
- Generate hard copy files of client information and associated intake documents for Energy Services administrative office.
- Generate sub-contractor billing invoices for Fiscal Department
- Prepare work orders for weatherization and forward to weatherization field office.
- Prepare weatherization sub-contractor invoices and statements for Fiscal.
- Purchase weatherization inventory
- Perform weatherization inventory control.
- Track per-diem and travel training expenses
- Maintain equipment calibration log.
- Maintain vehicle maintenance and mileage logs.
- Perform purchase order processing and tracking.
- Purchase of office supplies
Education and/or Experience: Equivalent to graduation from high school; and three years’ experience in client eligibility or related field.
Computer Skills: To perform this job successfully, an individual should have knowledge of Database software; Order processing systems; Spreadsheet software and Word Processing software.
Certificates, Licenses, Registrations: Current valid California Driver’s license.
Other Skills and Abilities: Ability to speak and write fluent Spanish required.
