Partners in Housing Solutions was established in 2015. The mission of PHS is to help people who are experiencing homelessness to secure and retain permanent housing through a network of private landlords. To date, the organization has housed over 1,200 people using a collaborative approach between landlords and social service agencies.
The Case Aide/ Administrative Assistant under direction, is responsible for assisting daily operations relieving the Executive Director of routine administrative details. The position is partially contracted and must comply with all contractual requirements, rules and processes as set forth by the contractor. This position requires an elevated level of initiative, accountability and analytical skills to perform the essential tasks. Must be able to multi-task, maintain confidentiality, and have attention to detail. Most of the work will take place in our North County office and occasionally on the field within Santa Barbara County. Must have own transportation and insurance to conduct job related travel. Duties include but are not limited to:
Support and endorse the mission of Partners in Housing Solutions (PHS)
Attend weekly staff meetings and monthly contractor meetings
Provide high-level administrative support to ensure the fulfillment of the organization’s
responsibilities and commitments
Significantly contribute to the performance and development of day-to-day operations
Assist with emails, drafting letters, mailings and information gathering
Record and maintain information in multiple lists and databases
Record weekly client updates on client list and report to contractor weekly
Serve as a liaison between Case Managers and contractor staff as needed
Occasional check ins, communications, and visits with clients and landlords*
Assist in maintaining internal files in compliance as assigned
Assist with data quality review and compiling
Answer main phone line and relay messages to staff
Participate in PHS events including fundraisers, meetings and presentations
Assist Executive Director with duties as assigned
*As assigned to accompany or fill in for Case Manager on a temporary basis.
