EVENT GUIDE

BEFORE EVENT DAY

Register to Attend

  •  Access the event page on your browser.
  • Click the button that says “Register Now.”
  • Enter the required personal information then click Continue.
    • Note: You may only register one attendee per email address. Please do not attempt to register multiple people from a single point of contact email address as they will not be able to enter the event.
  • Click Continue if it is a free ticket. Click Close to complete your check out.
  • You will receive an email confirmation for your tickets with receipt.

EVENT DAY

1. Enter the Event

 

  • Access the event page on your browser.
    • You can check the confirmation email that was sent to you and click the View Event Details button to be redirected to the event page.
  • Click the Enter Event button to enter the virtual event hub.

 

  • Enter the email address you used to register and enter your password, then click Submit.
    • If this is your first time logging in or if someone else registered for you, you will need to create a password.
  • You should then be automatically redirected to the virtual event hub.
    • Note: If after logging in, it does not redirect you to the virtual event hub, just click the Enter Event button

2. Tour the Platform Lobby

The first window you will see in the platform is the Lobby, which offers multiple ways for attendees to interact.

ON THE RIGHT OF THE SCREEN
  • Attendee Chat is available in the Lobby. This makes it easy for attendees to casually message individuals or chat in a group environment.
  • The chat rooms change depending on where you are in the venue. If you are in a session, you will also see options for Polls and Q&As.

 

 

IN THE MIDDLE OF THE SCREEN
  • The Feed creates a social media-type experience, where attendees can post photos, videos or status updates for all to see.
  • The Agenda lists all available sessions.
  • The Sponsors tab shows all event sponsors and links to their websites.

 

ON THE LEFT OF THE SCREEN
  • The Event Platform Navigation is how you move throughout the digital event, including the Lobby, Panel Discussion, Community Rooms, Attendees, and 1:1 Networking space to connect with other attendees.

 

 

ON THE TOP OF THE SCREEN 
  • The Calendar is where all your appointments are. If you set meetings with exhibitors or other attendees, you will be able to start your meeting from there.
  • The Notification Bell will show a red notification badge if someone requests a meeting or requests to be connected with you.
  • The Profile is where you can add your profile picture and other information. You may also set whether you want people to send you direct messages or not.

MAIN STAGE/PANEL DISCUSSION

This is the primary presentation location for the event.  Note: Sessions will be located in the agenda and show the “Main Stage” tag

 

COMMUNITY ROOMS

These sessions allow open, group discussions between attendees. Sessions allow up to 16 attendees to be on camera at once and up to 250 attendees in the session with audio. Note: Community Room Sessions will show in the agenda with the “Workshop” tag.

 

  

ATTENDEES/PEOPLE

This is where you will see a list of attendees and their profiles. Here you can request to be connected (like a friend request), send them a direct message, request for a meeting, and have a video call during your event.


CONNECTING WITH OTHER ATTENDEES

We strive to replicate all the best parts of in-person events in the virtual world, one of which is the ability to connect with others. Note: To start connecting with other Attendees, click the Attendees/People tab from your virtual event hub. In this tab, you will see all the attendees.

CHAT WITH AN ATTENDEE

You can send private messages to an attendee by clicking the Chat button.

  • When the Chat button is clicked, the existing chat room on the right-side column updates to a private chat between you and the other attendee.
  • When you receive a reply from the other attendee, you should see a notification on the upper left side of the chat.

 

 

CONNECT WITH AN ATTENDEE

By clicking the Connect button, this will send a request to be connected with the other attendee. Once the request is approved, you can start video chatting with them.

  • When the Connect button is clicked, it changes to Sent.
  • The other attendee will receive a notification badge via the Bell icon after you click Connect.
  • When the other attendee approves the connection by clicking Connect from the notification, the Sent button disappears and is replaced by a Video button and the other attendee is added to your My Connections tab.
  • When you are connected with another attendee, you can start a one-on-one video meeting with them by clicking the Video button.
  • Note: You may only have a video meeting if your connection is approved or if a meeting appointment is approved.

ONE-ON-ONE VIDEO MEETING

When a video call is initiated through the Video button or Start Meeting button, it should prompt to Allow microphone and camera access on the browser and to Join Meeting. Click those buttons to start the meeting. The other attendee should see a pop-up to accept or decline the video call. When both parties accept, you can start your live video call.

 

MEETING REQUEST WITH AN ATTENDEE

Clicking the Meet button allows you to request and schedule a meeting with another attendee. When the meeting is accepted by the other attendee, you can start video chatting on the scheduled time and date.

  • When the Meet button is clicked, it should open up the option to select the date and time for the meeting
  • When the request is submitted, the other attendee should receive a notification badge
  • When the other attendee accepts the meeting request, the appointment will be added to your calendar

 

1:1 NETWORKING, SPEED-DATING STYLE

Networking sessions will randomly match attendees up for a 1:1 video chat, lasting for a duration of time that is set by the host. Once the timer hits 0:00, attendees will be automatically re-matched with a new networking partner. This pattern will repeat for the duration of the session, allowing attendees to interact with a number of new people. Note: Sessions will be located in the agenda and show the “Meet Up” tag.

 

TROUBLESHOOTING

If you’re having issues logging in or joining the sessions, try these:

  • Use the recommended browser (Chrome)
  • Make sure that your browser is up to date
    • Refresh your page:
      • Windows: Ctrl + F5
      • Mac: Command(⌘) + Shift + R
    •  Clear your browser’s cache:
      • Chrome: Settings > Privacy and security > Clear browsing data > Clear data
      • Safari: Command(⌘) + Alt + E

 

  • Access the page in an incognito window (Ctrl + Shift + N)
  • Restart your device
  • Try the other recommended browsers (Safari and Firefox)
  • Check your internet connection / speed (it should be at least 5mbs)
  • Enable the camera and microphone in your browser:

 

  • Enable pop-ups in your browser
  • Disable any firewalls (e.g malware, AVG)
